Our New McKendree United Methodist Church mission is to make disciples of Jesus Christ for the transformation of the world. We live out our mission by loving God, loving people, and serving God’s people. We succeed in our calling through the cooperative work of our lay and pastoral church leadership, staff, and congregation. As part of the cooperative, our ministry staff’s role is to recruit, train, and resource our church family members to discover and grow in their call to ministry.   Our support staff's role is to complete specific tasks that require special training and skillsets.

    Position Overview: The Executive Assistant will provide expert-level administrative support with creative communications, technology management, digital marketing, and organizational coordination.  This person plays a key role in strengthening internal operations and enhancing the church’s public presence through professional graphics, print, web, email, and social media communications.

     

    Qualifications:

    •          Proficiency in Microsoft Office Suite, Google Workspace, and Canva.
    •          Strong computer, database, and graphics skills with the ability to learn church management software.
    •          Excellent written, verbal, and interpersonal communication skills.
    •          Experience managing websites, social media platforms, and digital communications.
    •          Strong organizational, project management, and multitasking abilities.
    •          Ability to maintain confidentiality and exercise sound judgment with sensitive information.
    •          Self-motivated with the ability to work independently and collaboratively.
    •          Commitment to the mission, values, and ministries of the church.

     

    Responsibilities: 

    •          Manage the Lead Pastor’s calendar, appointments, meetings, correspondence, and ministry activities.
    •          Prepare, organize, distribute, and maintain church documents, and council reports.
    •          Complete denominational annual statistical reports and charge conference reports.
    •          Design graphics in line with church branding strategies for presentations, worship slides, website and           promotional materials.
    •          Compile, edit, and distribute newsletters, bulletins, and ministry communications.
    •          Maintain and update the church website, and social media platforms.
    •          Count, record, and prepare weekly offerings for deposit.
    •          Maintain ministry financial records, documentation, and stewardship reporting.
    •          Prepare and reconcile ministry credit card statements.

    Position Overview:   The Receptionist serves as the first point of contact for members, visitors, and callers while ensuring a welcoming and organized environment.  This person will provide administrative support to church staff and ministry leaders.  This position is responsible for maintaining office operations, supporting ministry activities, and managing church records.

     

    Qualifications:

    •          Professional, welcoming, and service-oriented attitude.
    •          High school diploma or equivalent required; additional administrative training is preferred.
    •          Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    •          Ability to learn and utilize church management software.
    •          Excellent verbal, written, and interpersonal communication skills.
    •          Strong organizational and time management skills.
    •          Ability to prioritize multiple tasks in a fast-paced environment.
    •          Self-motivated with the ability to work independently and as part of a team.
    •          Commitment to maintain confidentiality and handle sensitive information with discretion.

     

    Responsibilities: 

    •          Answer incoming phone calls and greet visitors warmly. 
    •          Respond to general inquiries and assist with office communications.
    •          Sort and distribute incoming mail and process outgoing items.
    •          Maintain and update the current church prayer concern list.
    •          Manage the opening and closing of the church office each day.
    •          Inventory, order, and organize general office supplies.
    •          Operate and troubleshoot the office printer and folding machine.
    •          Track, organize, and manage the distribution of church keys.
    •          Organize and guide volunteers for large monthly and yearly mailings.
    •          Oversee and maintain valid church bulk mailing permits.
    •          Maintain the church facility usage calendar.
    •          Coordinate and schedule routine building maintenance.
    •          Attend weekly staff meetings to record and distribute minutes.
    •          Provide administrative tasks and project support to various ministry leaders.
